Canada Health Infoway Terms and Conditions

What is it?
The Canada Health Infoway AI Scribe Program will provide up to 10,000 fully funded, one-year licenses to eligible primary care clinicians. Mika AI Scribe was selected through a rigorous national procurement process for its alignment with clinical usability, interoperability, and pan-Canadian data standards, ensuring it meets the real needs of today and tomorrow’s care settings.

Who’s eligible?
In order to be eligible for the program, you must be a Canadian-based clinician in one of the following primary care roles:

• Family physician
• Nurse practitioner
• Registered nurse in remote communities
• Pediatrician providing longitudinal, community-based care

You must also be a member in good standing with an appropriate provincial or federal licensing organization and provide your valid licence number (e.g., your college registration number).

Your Provincial or Territorial Health Authority may have additional criteria for verifying your eligibility.

How does the program work?
Get started by completing your application (it should only take about 5 minutes). Applications will be reviewed by Canada Health Infoway in  7-10 days. You can use Mika AI Scribe while your application is being reviewed.

For new customers
If you’re a new customer and you’re approved, you’ll automatically be enrolled in our Pro Primary plan, which includes all of the features of our Pro plan, free of charge for a period of one year, starting from the date you’re approved. At the end of the program, you can choose to subscribe to another plan to continue using Mika AI Scribe.

If your application is not approved, you will have 7 days to subscribe to another plan to continue using Mika AI Scribe.

For existing customers
If you’re an existing customer and you’re approved, your existing plan will automatically be paused and you’ll be transitioned to our Pro Primary plan, which includes all of the features of our Pro plan, free of charge for a period of one year, starting from the date you’re approved. At the end of the program, your original plan will automatically be reactivated and you’ll be transitioned back to that plan.

If you’re an existing customer and your application is not approved, your plan will remain unchanged.

Early termination
If the program is terminated by Canada Health Infoway for any reason before the end of your one year funding period, you will be notified and provided 10 business days notice. If you are a new customer you will be required to subscribe to another plan to continue using Mika AI Scribe at the end of the notice period. If you’re an existing customer, your original plan will automatically be reactivated and you’ll be transitioned back to that plan at the end of the notice period.

Minimum usage requirement
If you’re approved, you’re required to activate Mika AI Scribe a minimum of 10 times per month to maintain approval. Failure to do so may result in loss of funding.

Data sharing requirement
You’re required to allow Mikata Health Inc. to share your program application and ongoing usage information (i.e., number of sessions per month) with Canada Health Infoway and your Provincial or Territorial Health Authority to verify your eligibility and to monitor and evaluate the program. No patient information, including personal health information, will be shared with Canada Health Infoway.
